University Communications and Marketing (
UCOMM) is seeking a highly organized and proactive Executive Assistant to support the Vice Chancellor of Communications and Marketing (VC) and help keep a fast-paced, collaborative division running smoothly. In this role, you will serve as a trusted partner to senior leadership, providing high-level administrative and operational support while helping coordinate communication, projects, and daily priorities across the unit. This position plays an important role in ensuring effective collaboration between
UCOMM, university leadership, campus partners, and external stakeholders.
This is an ideal opportunity for someone who enjoys being the person others rely on to keep operations organized, communication flowing, and priorities moving forward. You will manage complex schedules, coordinate projects and meetings, support operational processes, and serve as a key point of contact for the division. The role offers the opportunity to work closely with university leaders and communicators across campus while helping support the daily operations and long-term priorities of the division.
Key Responsibilities
- Manage complex calendars, scheduling, and meeting coordination for the VC and UCOMM senior leadership
- Coordinate and maintain departmental communications and follow-up actions
- Draft and manage correspondence, presentations, reports, and other administrative materials
- Serve as a primary administrative contact for campus partners, vendors, and external stakeholders
- Track action items, summarize meetings, and help ensure timely completion of priorities and projects
- Support departmental business operations, including travel processing, purchasing, and reimbursements for the VC and senior leaders.
- Partner with university administrative offices and business teams to support seamless daily operations
- Coordinate onboarding activities and support new employee transitions
- Serve as a liaison for Winslow Hall building operations, maintenance requests, and office coordination needs
- Manage special projects and provide additional operational support for departmental leadership as needed

Qualifications
| Minimum Experience/Education |
High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

- Progressive administrative experience supporting senior leadership in a complex, fast-paced environment
- Strong project management and organizational skills with the ability to manage multiple priorities, deadlines, and competing demands
- Exceptional written and verbal communication skills with demonstrated ability to interact effectively across all levels of an organization
- Proven ability to proactively manage complex calendars, make sound independent decisions, and exercise strong judgment
- Experience working in a large, complex organization (preferably higher education or a similarly structured nonprofit environment)
