Primary Duties
1. Tracks, monitors, and reports on the effectiveness of current programs in achieving organization objectives and predictive/preventive maintenance programs to ensure the uninterrupted operations of facilities. Identifies best practices and benchmarks. Develops recommendations for modifications to assure maximum effectiveness of facility operations.
2. Adjusts departmental plans and priorities to address resource and operational issues. Provides daily updates to leadership regarding the physical conditions of critical site facilities and the status of work in progress. Resolves escalated issues.
3. Participates in the development and application of standards of quality and productivity for the Facilities Department. Coordinates, provides guidance to, and oversees contract workers to support maintenance and repair of equipment, buildings, and building systems.
4. Schedules inspections, testing, and maintenance repair work, alterations, remodeling, and minor construction of equipment and building systems. Documents results of facility inspections. May assist in all facility-related activities including relocations, maintenance, and remodeling.
5. Recommends and establishes standardized procedures. Instructs personnel regarding hazards and safety to ensure safe procedures. Tracks, measures, and reports on compliance with all safety codes, building codes and operating processes.
6. Identifies and resolves technical, operational, and organizational problems considering multiple sources of information to identify the best course of action. Performs root cause analysis on equipment and/or process failures.
7. Monitors and updates Facilities Management (FM) software and work orders. Reports on open and closed work orders and monitors status with the appropriate technician or vendor. Provides updates to customers as required.
8. Maintains files on work orders, proposals, and department files. Builds vendor files and checks accuracy of completed work orders submitted by vendors. Provides training to vendors on work order and billing procedures. Processes invoices and ensures accurate cost center coding.
MINIMUM REQUIREMENTS
Educational/Experience Level
1. Bachelor's degree in Business Administration or a related field and three years progressively responsible experience in facilities administration; or equivalent, or
2. A general educational knowledge normally acquired through a high school diploma or a General Equivalency Diploma (GED) and five years progressively responsible experience in facilities administration.
Communication Skills
Requires the ability to communicate with internal and/or external customer to obtain and/or provide explanations and/or information on technical concepts to individuals with experience or knowledge of the technical area.
Numeric Skills
Requires the ability to perform analyses involving ratios, percentages and simple statistical methods.
Computer Skills
Requires a working knowledge of various software applications to create complex documents, reports, spreadsheets, presentations, and graphical design.
Physical Demands:
Requires occasionally performing activities including, but not limited to, bending, stooping, grasping, reaching, twisting, turning and/or lifting.
Work Conditions
This position will work in both indoor and outdoor environments.
