Overview
The Proposal and Contract Writer ("PCW") is responsible for the development of responses to Requests for Proposals ("RFPs") and preparation of proactive proposals for commercial and government contracts. The PCW may also prepare Statements of Work ("SOWs"), Change Orders ("COs"), and Requests for Information ("RFIs") as needed. The PCW will determine proposal/SOW concept by assembling information including project scope, objectives/outcomes/deliverables, methods, timetable, staffing needs, budgets, and standards of performance and evaluation. The PCW will be responsible for stakeholder engagement, the writing, revising, and editing of drafts, and managing the escalation/approval process until the final version is approved.
Responsibilities
- Under the supervision of the Director of Commercial Operations, have a strong focus on proposal management and preparation, including development of project budgets across accounts and global opportunities under tight deadlines in support of the Sales organization
- Manage proposal development from receipt to submission to ensure all requirements of the proposal request are addressed
- Coordinate with internal stakeholders and subject matter experts to gather all information requested in the proposal document
- Collaborate with internal Subject Matter Experts and external partners for proposal development input
- As needed, prepare responses to RFIs, SOWs, COs, Questionnaires, and Supplier Forms according to client and internal specifications/standards
- Perform quality control review, adjudicate comments, and edit proposals, SOWs, and COs, as required
- Complete desktop publishing of proposals, SOWs, and COs, as required
- Manage and maintain data hygiene of files within a content database
- Participate in client meeting preparations, as needed
- Support Commercial Operations Leadership Team on the implementation of operational strategies for proposals
- Support administrative aspects of proposal development, including, but not limited to: tracking proposal/SOW/CO status in the company's customer relationship management system, contributing to metrics reports, and ensuring security and integrity of documentation
- Perform contract vetting, finalization, and signature procurement activities, as required
- Contribute to process and development initiatives
- Assist with mentoring/training of newly-hired Commercial Operations Team members
Qualifications
Required Qualifications:
- Experience leading proposals and managing key stakeholders, inputs, and ownership of final deliverable
- Excellent technical writing/documentation skills
- 2 to 5 years of professional experience in contract/proposal writing, administrative or business services
- Bachelor's degree or equivalent in a Science, English, Business, or related fields
- Excellent attention to detail and commitment to accuracy
- Proficiency in Microsoft Office and Adobe Acrobat software
- Excellent presentation skills (including in-depth knowledge of PowerPoint and Excel)
- Proven ability to manage multiple projects and adapt quickly to changing business needs
- Excellent interpersonal and communication skills
- Successful completion of Proposals & Contracts Quality Control Certification after initial onboarding

- Graphics development experience
