The County Administrative Assistant is a member of the staff of the North Carolina Cooperative Extension ( NCCE). The County Administrative Assistant's primary responsibility is to provide support to the County Extension Director and other staff as assigned. The County Administrative Assistant cooperates with colleagues in the NCCE and county leaders in performing assigned responsibilities. The performance of assigned responsibility is governed by the philosophy, objectives, policies, and procedures of the NCCE.
Primary Function of Organizational Unit
North Carolina Cooperative Extension gives our residents easy access to the resources and expertise of NC State University and NC A&T State University. Through educational programs, publications, and events, Cooperative Extension field faculty deliver unbiased, research-based information to North Carolina citizens.
Northampton County covers 537 square miles of prime agricultural land in the Upper Coastal Plains in northeastern North Carolina. The Roanoke River is located along the southern border of Northampton County. Two lakes (Gaston and Roanoke Rapids Lake) are located at the western end of Northampton. Northampton County is located approximately 103 miles from the nearest beach, Virginia Beach, VA and is located approximately 100 miles from our State Capital, Raleigh, NC. The county population is 17,129 (2021). The county seat and home of the Northampton County Extension Center is Jackson, North Carolina. Our Northern border is the North Carolina/Virginia State Line.

Duties and Responsibilities
The County Administrative Assistant position provides office support and leadership, under supervision, to the Extension staff and does related work as required to support educational programs in a variety of areas including some data entry and office supply management. Responsibilities include providing administrative support for the County Extension Director and other staff/program areas including Agriculture, Natural Resources, 4-H and Family and Consumer Science. Position interacts with other county departments (Human Resources, Finance, Budget, Facility Services, etc.) to ensure effective relationships with county government. The County Administrative Assistant will work with the County Extension Director to develop and effectively manage the county budget.
Other Work/Responsibilities
The County Administrative Assistant position provides office support and leadership, under supervision, to the Extension staff and does related work as required to support educational programs in a variety of areas.
Responsibilities include providing administrative support for the County Extension Director and other staff in program areas including Agriculture, Horticulture, 4-H and Family and Consumer Science. Position interacts with other county departments (Human Resources, Finance, Budget, etc.) to ensure effective relationships with county government.
The County Administrative Assistant will work with the County Extension Director to develop and effectively manage the county and NCSU Extension budget and on-going financial procedures as well as maintaining grant fund budgets.
Responsible for submitting all volunteer background checks and maintaining appropriate records.
Work with electronic travel, leave, and reporting systems.
Perform office support duties of file management, purchasing and maintaining office supplies, reviewing/screening mail, and processing outgoing mail (including mass mailings).
The successful candidate will provide customer service to call-in and walk-in clientele and should have the ability to respond to all clientele.
Marketing Extension programs and success through creation of reports, maintaining and updating the website, social media and all other communication outlets. Creation of educational materials and newsletters. Assist Agents in creating program announcements and other event promotion materials.

Minimum Experience/Education
Graduation from high school and two years of related experience; or graduation from a two-year secretarial science or business administration program and one year related experience
Department Required Skills
An extensive knowledge of computer applications is required including Word, Excel,
Google Suite, and must have a willingness to learn new relevant software programs as
they become essential.

Must be highly motivated and have strong organizational skills and the ability to multi- task.

Must be dependable, prompt, and efficient in roles and responsibilities. Must possess strong written and oral communication skills.
Must be understanding of and able to maintain confidentiality, especially as it relates to HR issues.
Must have effective time management skills and be able to prioritize tasks.
Preferred Years Experience, Skills, Training, Education
Accounting experience preferred including budget monitoring and analysis and accounting process skills.
Customer service skills and the ability to interface with other agencies. Human resource skills to assist with interview, hire and training processes. Experience in coordination of meetings, events, personnel, and volunteers.
Required License or Certification
Valid driver's license and reliable, personal transportation. In order to operate a state vehicle, a valid NC driver's license is required within 60 days of hire and must be maintained.
