About the Job

The HR pro in the Department of Electrical and Computer Engineering (ECE) will support a broad spectrum of human resources needs in the department, allowing the candidate experience in a wide swath of human resources and faculty affairs duties. The HR pro will partner with all areas of the ECE community - faculty, staff, students, and industry partners - as well as partners within the College of Science and Engineering (CSE) Dean's Office to support and enhance the ECE department.

Recruitment, Onboarding, Pay and Compensation - 45%
-Recruiting and hiring staff, research professionals, undergraduate students, and graduate students.
-Partner with supervisors in developing job descriptions, specifying qualifications, post and advertising positions, reviewing and identifying qualified candidates, participating in interviews and/or advising on interview practices, performing reference and background checks, sending regret letters, and writing offer letters.
- Monitor appointment end dates and consult with supervisors on terminating appointments or orchestrating extensions.
-For faculty recruitment, participate in faculty search committees; review, post and advertise for positions; organize faculty search process, while collaborating with committee chairs; and provide reports and required documentation for evaluation.
-Arrange faculty candidate interviews and process related documents.
-Manage electronic system for faculty searches.
-Develop, manage and implement on-boarding process of all new employees to the department, including I-9 verification.
-Communicate information, resources, and referrals to employees regarding benefits, payroll, housing, department and university policies, required training, and system access.
-Back-up for payroll entry, abstract, and appointment preparation.
-Department Time & Absence Administrator and Department I-9 Administrator.
-Maintain confidentiality.

Faculty Promotion and Tenure, Awards, and Performance Reviews - 15%
-Participate on the ECE P&T committee, advising candidates on procedures, and coordinating with candidate(s) to prepare dossier(s) for presentation to the committee, faculty, and higher administration.
-Develop and coordinate departmental process for mapping and management of submissions.
-Assist with identifying nominees for college, university, and national awards. Collaborate with candidates on preparing nomination materials for submission, requesting reference letters, etc.
-Coordinate faculty reviews, schedule confidential meetings, and submit evaluations as required.
-Liaison with CSE Associate Dean for Academic Affairs and Provost's Office for guidance on dossier items and procedures.

Visas for Foreign-National Visitors/Research Scholars - 15%
-Collaborate with faculty to invite scholars and correspond with scholars to obtain, review, and assemble documentation to be submitted to ISSS.
-Orient new scholars to the department by providing resources about health insurance coverage, social security number applications, housing, assisting with visa extension requests, employment verification letters, required training and system access.
-Partner with ISSS, OGC, and/or outside counsel on permanent residency applications

Employee Relations, Programs, and Services - 15%
-Coach supervisors on employee relations issues, interpret policies and advise staff.
-Consult, research and respond to human resources related policy questions, annual open enrollment and benefits questions, EAP, etc.
-Develop and manage a professional development plan including training, access requests, and requirements for each position.
-Assist supervisors with information/training sessions for employees on customer service, security/safety, expectations, etc.
-Advise supervisors on proactive performance management coaching. Assist with performance management for all employees.

Administration/Communication/Special Events/Misc - 10%
-Research and gather data on previous department and college practices, UMN policies and contracts.
-Manage administrative correspondences such as appreciation letters to donors, etc.
-Attend faculty meetings and compose minutes.
-Assist with planning the Annual Faculty Retreat and the Annual Fall Department Reception.
-Assist Department Head with correspondence and special projects.

Qualifications

Required:
-BA/BS degree, or a combination of education and/or experience to equal at least four years.

Preferred:
-Familiarity with UMN and campus systems (i.e. PeopleSoft HRMS, Interfolio)
-Familiarity assisting foreign nationals with Visa requirements.
-Experience working in a higher education setting
-Ability to effectively communicate with a broad variety of constituents, including faculty, staff, students, donors, and industry professionals
-Ability to problem solve independently and as part of a team

Pay and Benefits

Pay Range: $25 - $29.81 per hour; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
