About the Job

Student Unions & Activities (SUA) is seeking to hire a Custodial Manager. This position provides tactical direction, leadership, supervision, and oversight for the upkeep of the facilities, custodial procedures, equipment, and grounds of Coffman Memorial Union (East Bank Campus), West Bank Skyway (West Bank Campus), and the St. Paul Student Center (St. Paul Campus).

This position leads and oversees all custodial operations and daytime building management within Coffman Memorial Union, St Paul Student Center, and the West Bank Skyway. The position has direct and indirect supervision of two (2) Buildings and Grounds Supervisors and ten (10) Building and Grounds Workers. This incorporates oversight of FM trades workers performing tasks within our facilities, and one (1) student admin employee and six (6) student custodial workers.

The position requires flexible hours, given supervision and direction of full-time and student staff occurs 24 hours/day, 7 days/week. Requires many night and weekend hours, and is on-call at all times for emergency issues that arise or to provide direction for on-site staff. This position will report to the Facilities Manager.

DUTIES AND RESPONSIBILITIES

Supervision (40%)

  • Direct supervision of 2 full-time staff; indirect supervision for 12 full-time staff, 2 student utility workers, 6 student custodial workers and numerous FM Trades Workers on-site daily
  • Serve on training and development committees, looking at programs for full-time and student staff to ensure staff are prepared for all tasks related to their positions
  • Implementation of twice annual professional development and review process to assess employee goals, accomplishments, and areas for improvement
  • Coaching of direct and indirect reports to grow skill sets related to supervision, leadership, conflict management, professionalism, accountability, and more
  • Interviews, hires, disciplines and assigns work to custodial employees.
  • Assigns work to custodial employees and regularly evaluates employee performance including an annual written evaluation; and provides feedback and training based on evaluation.
  • Coordinates work assignments with campus events, schedules and maintenance needs.
  • Be aware of and uphold the collective bargaining agreement.
  • Respond to grievances at the first step and consult with HR and management through the grievance resolution.
  • Works cooperatively with custodial, building services, and event services teams to determine common policies and procedures.
  • Forecasts staffing requirements for special events and projects.
  • Provides backup for custodial supervisors who are away from work.

Custodial Management (30%)

  • Partner with Coffman, St. Paul Student Center, and West Bank Skyway Tenants and SUA Departments to ensure that Custodial and Maintenance practices are effective in helping them to achieve their annual goals, customer service priorities, and strategies within budget constraints
  • Ensure that observation and communication of general building maintenance needs (including but not limited to: repairs, room temperatures, electrical problems, security issues, etc.) are documented and reported by all Custodial staff such that appropriate work tickets are submitted to the Maintenance manager.
  • Set and implement consistent area work culture, policies, standards, and norms;
  • Write protocols in staff training manuals both on-line and in paper formats
  • Deliver exceptional customer service, including constant proactive efforts and timely responses to issues or concerns that arise. Ensuring all needs are met in regard to building cleanliness, environment, safety, and overall satisfaction
  • Supervision of cleaning and projects for over 445,000 square feet of three SUA facilities (Coffman Memorial Union, St. Paul Student Center, and West Bank Skyway) which includes aspects of building management, supervision, and major aspects of safety and security
  • Responsible for Custodial operations 24 hours/day, 7 days/week
    Assist the Associate Director with oversight of custodial budgets for Coffman Memorial Union, St. Paul Student Center, and West Bank Skyway and maintenance concerns having an impact on the same.
  • Conducts regular facility inspections for proper maintenance and appearance, based on institutional standards.
  • Coordinates with University Health, Safety, and Risk Management offices to ensure worker safety and comply with local, state, and federal safety expectations
  • Provides equipment and supplies to staff as needed to complete assigned tasks.
  • Estimate time, labor and materials cost.
  • Assist in planning and scheduling projects; maintain records and prepare reports.

Administrative Duties (20%)

  • Communicates effectively to staff customers, verbally and in writing, the expectations, policies and directives of the department and the University.
  • Maintains task lists and upcoming project schedules in project management software
  • Ensures compliance to FM Safety program and other regulations and policies as required.
  • Review labor schedules and approve employee work times in timesheets.
  • Comply with University and FM procedures and requirements to obtain equipment and supplies.
  • Maintains records, writes reports and provides documentation as needed.
  • Attends weekly meetings with the Facilities Manager
  • Know, support and adhere to the policies, procedures and equipment of the department, campus and the University.

Required Qualifications

  • Bachelor's degree plus at least five years of experience or a combination of related education and work experience to equal at least nine years.

Preferred Qualifications

  • Experience working in a large, complex organization.
About the Department

Student Unions & Activities (SUA) is an unit within the Office for Student Affairs at the University of Minnesota. SUA provides a variety of programs and services to the University community that enhance the social, educational, and cultural environment of the University of Minnesota. This includes retail services, facility rental, space for individual and group activities, entertainment and educational programs, oversight of student activities, and involvement with diverse student groups.

SUA operates three facilities: Coffman Memorial Union on the East Bank campus, the St. Paul Student Center (on the St. Paul Campus), and retail services on the West Bank campus. The department has an annual budget of $16.8 million. SUA is funded by student fees and revenue generated by the department.

The department has approximately 65 fulltime staff, representing all employee groups except faculty, and approximately 200 student employees. SUA provides opportunities for students to enrich and complement their academic experience by integrating student learning outcomes with student employment.

Pay and Benefits

Pay Range: $54,475 - $57,741; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
