Job Summary

The duration of this temporary role is through approximately April or May (possibility to extend). Will have optional medical benefits, holiday pay and sick leave accrual. Please note: this is fully remote, but would have the option of working on site at Mission Bay if preferred.

The Administrative Officer 3 supports the overall aspects of the Division of General Pediatrics. S/he provides support and oversight for day-to-day division operations in both site locations: BCH-SF and BCH-Oakland. Reporting directly to the Division Administrator (DA), and under the DA supervision, the incumbent is responsible for directly providing and coordinating a range of complex administrative, HR, financial/budget, and other duties to support the full range of division operations, including support to the Division Chief, 10 Medical Directors, 50+ Faculty, 16 Fellows and the division's staff.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills with diplomacy.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Experience with calendaring and setting up meetings.
  • Able to multi-task.
  • Minimum 3 years of related experience.
  • Bachelor's degree in related area and/or equivalent experience/training.

Preferred Qualifications


  • UCSF experience and knowledge of University systems such as MyExpense, BearBuy, UCPath, PeopleSoft, and others.
  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting, and fund management, and/or personnel management.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of common University-specific computer application programs.
  • Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees.
  • Experience working with physicians in an academic setting.
