Primary Purpose of Organizational Unit
The Facilities Administration department provides administrative services to the office of Facilities units to include review of processes in purchasing and hiring, planning and budgeting, and the reporting of financial, cost and performance information, inventory management including stocked items and shop supplies. Services include developing and maintaining policies and procedures manuals for each unit; re-engineering administrative processes and work design; compiling plans and assessment data; and assisting with facilities group budgets. Accounting services include management of utility accounts, university-wide billing, and cost studies as directed by the associate vice chancellor and others. This unit is a resource and liaison for the university's Finance, Budget and Human Resource departments, and also serves as a customer care and problem resolution office.

The primary purpose of the Physical Plant is to maintain the buildings, grounds, and infrastructure of the UNCW campus in a way that is safe, reliable, economical, and attractive.

Brief Summary of Work for this Position
The primary function of the Facilities Operations Support position is to provide administrative support to the management staff of Facilities Administration. This role emphasizes independent program management and the coordination of program policies, procedures, and information. Key responsibilities include data collection and analysis of raw AiM data to facilitate and process work orders and projects. The Facilities Operations Support admin will collaborate closely with the Physical Plant and Purchasing Departments to meet campus service contract needs, facilitating these needs through uShop and ensuring the processing of invoices and work completion. This position is crucial for the communication and coordination of projects within the Physical Plant and the Office of Facilities.

Additional Responsibilities:

  • Preparing and distributing documents, reports, graphs, charts, and PowerPoint presentations.
  • Developing and maintaining standard operating procedures (SOPs) for department processes and machine/equipment operation.
  • Processing work orders in AiM, procurement in uShop, and accounting posting and reconciliation in both uShop and AiM.
  • Supporting Operations management by assigning contractor keys in KeyTrak, processing key requests, and managing dig permits.
  • Acting as front reception and handling phone calls.
  • Undertaking special projects and other duties as required by departmental needs.


*This position has been designated as mandatory personnel for the University and may be required to report to work during adverse weather conditions even though the University may be operating on an alternate schedule.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred education, professional skills and experience

  • Familiarity with AIM, uShop and/or Banner Finance
  • Proficency in Microsoft Excel
  • Attention to detail

NC Driver's License or the ability to obtain within 30 days of hire.
