Purpose

Partners with three dynamic teams in the Cockrell School of Engineering (CSE) Development Office to further the School's strategic priorities. This position will plan, manage, execute, and partner with the Director of Events, Associate Director of Stewardship, and Director of Industry Engagement on key strategic alumni/donor events, stewardship priorities involving the Endowment Impact Report and showing impact to the top five companies engaged with the Cockrell School of Engineering.

Responsibilities
  • Manage up to three alumni/donor events throughout the fall and spring semester.

  • Attends events to ensure smooth execution, resolving any problems or difficulties that arise.

  • Represent the Cockrell School at events with a high level of professionalism and decorum.

  • Monitors events budget with oversight from Director of Events and ensures event expenses are made within the limits of allocated funding. Ensures purchases and contracts are managed in accordance with policy and law.

  • Coordinates full range of activities required including facility identification and reservation, menu selection and catering coordination, participation in the development of guest lists, coordinating and extending invitations, and ensuring audio/visual needs are met, thoughtful management of relationships with VIP's, and appropriate post-event follow up.

  • Coordinates the planning, preparation, and execution of a variety of donor events including, but not limited to Moove-In welcome event, Cockrell wide tailgates and support departmental tailgate needs, and other on campus events.

  • Execute the Endowment Impact Reporting process from start to finish with the support and direction from the Associate Director of Stewardship.

  • Handle gift acknowledgements for all CSE gifts.

  • Partner with the Director of Industry Engagement on the top five companies investing in the Cockrell School of Engineering and supporting the ways of showing impact when the companies come the campus.

  • Coordinates weekly shipping and receiving for events, stewardship, and the CSE Development team.

  • Organizes donor records for optimum utilization, including nature of information retained, structure and location of files and continuous monitoring of this activity for Gift Administration.

  • Prepares general and customized reports to identified donors including but not limited to Digital Impact Reports.

Required Qualifications
  • Bachelor's Degree and at least 3 years of experience in stewardship, event support or related fields.

  • Experience in planning and executing events.

  • Experience in curating impact reports and/or events.

  • Experience coordinating and supporting events.

  • Experience providing administrative or operational support to a multi-faceted team.

  • Excellent verbal, written, and interpersonal communication skills.

  • Demonstrated ability to think strategically and creatively, work well under pressure, and manage details of several concurrent projects.

  • Proven project management skills.

  • Demonstrated ability to work effectively in a team-oriented environment.

  • Must be able to travel to visit prospects and donors.

  • Capable of working independently.

  • Work with integrity and professionalism.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Three or more years of relevant experience.

  • Experience working in a large-scale research university.

  • Experience with prospect management systems, e.g. VIP, Raiser's Edge, etc.

Salary Range

$60,000+ depending on qualifications.

Working Conditions
  • May work around standard office conditions.

  • Repetitive use of a keyboard at a workstation.

  • Occasional evening and weekend work may be required for events or during peak periods.

Work Shift
  • Standard work schedule is Monday - Friday, 8:00 a.m. - 5:00 p.m.

  • Periodic work outside of normal business hours, to include evenings and weekends, may be required.
