Job Description

Jefferson Consulting Group is seeking an Administrative and Operations Manager to support our USAID Diversity, Equity, Inclusion and Accessibility (DEIA) contract.

This role will be fully remote.

The annual salary range for this position is $115,000.00-$120,000.00. The annual salary range is negotiable. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.

Overview:

The U.S. Agency for International Development (USAID) prioritizes DEIA as part of Executive Order 14035. This initiative, rooted in principles like data-driven decisions, continuous improvement, and accountability, aligns with USAID's core values and localization

agenda. While it has no shortage of DEIA champions, USAID faces challenges in operationalizing DEIA unlike any other federal agency given the scale and complexity of its global operations. Jefferson offers USAID the strategic learning and project management expertise necessary to fully realize and implement its DEIA goals through our DEIA contract.

The Administrative and Operations Manager is a mid-level professional responsible for programmatic, operational, logistics, and administrative support to the DEIA contract. The incumbent will report to the DEIA contract Project Director or his/her designee.

Responsibilities:

  • Project Support: At the direction of the Project DIrector and Task Leads, make meaningful contributions to the execution of project activities in support of project objectives, including capacity strengthening; monitoring, evaluation and learning; strategic project management; and DEIA.

  • SharePoint Management: Organize and maintain SharePoint folders on project site, ensuring all documentation is up to date, easily accessible, and well-structured to support project needs.

  • Recruiting: Assist in recruitment activities including facilitating intake meetings to understand client needs; developing and publishing position descriptions; screening, interviewing, and proposing candidates; facilitating client meetings; and collaborating with Jefferson's HR team to initiate and execute onboarding.

  • Project Planning: Assist with all client reporting on an as needed basis. Help compile, edit and ensure ADA and 508 compliance on reports, work plans, approval requests and other deliverables to ensure alignment with project goals.

  • Task Coordination: Organize and maintain project Planner tasks to ensure all action items are scheduled, tracked and followed up on.

  • Travel Management: coordinate travel arrangements for project staff in keeping with US Government, USAID and Jefferson travel policies and procedures.

  • Administrative and Operations Support: Provide general administrative and operational support, including calendar management, and logistical coordination for virtual meetings and events.

Required Qualifications:

  • Bachelor's degree and 4 years of progressively responsible, relevant experience is required. In lieu of a Bachelor's degree, a Master's degree and 2 years of relevant experience may be substituted.

  • Demonstrated experience managing junior- to mid-level professionals including managing performance issues and participating in performance management.

  • Experience developing and executing a performance management plan, large-scale strategic road map, work plans and/or MEL component of a project.

  • Demonstrated programmatic experience developing and implementing DEIA-related activities that are both measurable and had impactful results.

  • Proficient in Microsoft SharePoint and Office Suite (Word, Excel, PowerPoint).

  • Ability to work independently and collaboratively in a remote environment.

  • Strong attention to detail with a meticulous approach to managing information and documentation.

  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.

  • Excellent written and verbal communication skills.

  • Strong interpersonal and relationship-building skills to work effectively with diverse teams, including demonstrated cross cultural competency and global experience.

  • Work authorization or employment eligibility in the US.

  • Fluency in spoken and written English.
