Are you passionate about ensuring compliance and excellence in grant management? Indian River State College (IRSC) is seeking a dedicated Program Coordinator - Project STAGE to join our Workforce Education Division. If you have a keen eye for detail, exceptional organizational skills, and a knack for collaboration, this role is perfect for you!

Key Responsibilities:

  • Monitor and Support Grants: Ensure compliance with rules and regulations for all grants and contracts awarded to IRSC.

  • Collaborate with Teams: Work closely with project managers and grant teams to ensure project compliance.

  • Analyze Grant Performance: Oversee and analyze the performance of various grants.

  • Reporting and Data Analysis: Create and analyze reports, collaborating with Project Directors to meet reporting requirements.

  • Database Management: Develop and maintain a comprehensive reporting database for all grant-funded projects.

  • FERPA Compliance: Ensure adherence to the Family Educational Rights and Privacy Act (FERPA - 34 CFR Part 99).

  • Liaison Role: Act as the bridge between Grants Development and Grants Management offices.

  • Documentation and Reporting: Track, monitor, and prepare reports and schedules for grants and scholarships, maintaining accurate documentation.

Specific Duties:

  • Coordinate and Analyze: Manage awarded grants' terms, conditions, and reporting requirements.

  • Collaborate on Reports: Work with the Dean and Project Director to develop and submit reports to funding agencies.

  • Ensure Timely Reporting: Coordinate grant reporting to meet deadlines and approval processes.

  • Monitor Grant Awards: Ensure grant deliverables are met and funds are appropriately spent.

  • Lead Monthly Meetings: Review grant performance activities and address any issues.

  • Draft Agreements: Prepare sub-agreements, MOUs, and other necessary documents.

  • Active Participation: Contribute to the Workforce Education Division's initiatives and provide regular updates to the Dean.

Qualifications:

  • Proficiency in MS Office: Especially MS Word, Excel, Outlook, and Adobe Creative Cloud.

  • Strong Analytical Skills: Ability to analyze data and generate comprehensive reports.

JOB SUMMARY:

Under direction this position monitor and support grants and contracts awarded to IRSC to ensure compliance with rules and regulations. Collaborate with project managers and grant teams to ensure project compliance. Analyze and oversee grant performance. Collaborate with Project Directors with reporting requirements by creating and analyzing reports and the associated data. Develop, maintain, and oversee a reporting database for all grant funded projects at IRSC under Workforce Education. Comply with Family Educational Rights and Privacy Act (FERPA - 34 CFR Part 99). Act as liaison between Grants Development and Grants Management offices. Track, monitor, and prepare reports and schedules for grants and scholarships. Maintain accurate documentation of grants and scholarships.

SPECIFIC DUTIES AND RESPONSIBILITIES:

The specific duties and responsibilities for this position include, but are not limited to:

  • Coordinate and analyze awarded grants' terms and conditions, standard assurances, reporting requirements (fiscal and programmatic), goals and objectives, statement of work/deliverables, budget, reports, and other documents.

  • Collaborate with Dean and Project Director in the development of reports for submission to funding agencies.

  • Coordinate grant reporting to ensure they are developed according to reporting requirements and submitted on time and allowing for approval process prior to submission.

  • Monitor and oversee grant awards to ensure grant deliverables are met and funds are spent appropriately and in a timely fashion.

  • Serve as the liaison between Grants Development and Grant Management offices to ensure both teams are up-to-date on grant progress and potential issues.

  • Develop, maintain, and oversee an accurate and comprehensive reporting and tracking system for federal and state grants awarded to IRSC Workforce Education.

  • Coordinate and lead monthly monitoring meetings to review grant performance activities.

  • Monitor no cost extensions, carry-over of funding, changes in key personnel, and other post-award project modifications.

  • Draft sub-agreements, Memorandums of Understanding, and similar documents as needed.

  • Participate as an active and contributing member of the Workforce Education Division.

  • Provide weekly and monthly status updates to Dean of Workforce Education.

  • Complete other duties and responsibilities as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:

The qualifications and skill requirements for this position include:

  • Minimum of an Associate's degree from an accredited institution and verifiable grant experience.

  • Experience in grant/contracts administration and management, or related fields.

  • Excellent writing and researching skills.

  • Proficient in Microsoft Office, Excel and Windows applications with the ability to develop, maintain, and oversee reporting databases.

  • Excellent verbal, listening, analytical, and interpersonal skills.

  • Ability to work collaboratively with IRSC personnel and external partners.

  • Extremely organized and meticulous with details.

  • Ability to plan, prioritize, and execute multiple tasks while adhering to multiple deadlines.

  • Ability to make independent decisions without the assistance of training or policy manuals or regular intervention from a director or Dean.

  • Exemplary ethical conduct.

PHYSICAL DEMANDS:

This role requires the ability to sit, stand, walk, bend, lift, reach, and carry items up to 25 pounds occasionally. Manual dexterity is required to operate standard office equipment, including a copier, fax machine, calculator, telephone, and other office tools. Adherence to proper safety standards is expected.
